Everyday challenges

What makes shift planning hard in your sector.

Time slots to cover

The service has to answer in every slot promised to customers, weekends included.

Lots of part-timers

Short-hour contracts and varied availability make the schedule a constant puzzle.

High turnover

Schedules that ignore personal needs are among the main reasons people quit.

Languages and skills

Some queues need a specific language or training.

Guaranteed coverage

Every time slot covered with the minimum number of agents you set.

Time-slot preferences

Each agent states the slot they prefer to work in, for example "mornings only", with a priority.

Part-time and mixed contracts

Full-time, part-time and contracts with different hour budgets share the same schedule: everyone works the hours they are due.

Skills per shift

Each shift can require specific skills, such as a foreign language.

Fair nights, weekends and holidays

The heaviest shifts are shared out with the same criterion for everyone, taking previous months into account too: no favouritism, no back-room deals.

Verified shift swaps

Colleagues propose swaps to each other in Oravis; every swap is checked against rest periods and constraints before it is approved.

Sudden absences

A last-minute sick call? Oravis proposes the replacement that changes the fewest shifts, without touching anyone already on duty. You confirm.

Hour bank

Each person's hour credit and debit is calculated at month end and carried over automatically to the next month.
Example

A multilingual customer service team

Fifty agents, mostly part-time, service from 8am to 10pm seven days a week, with at least one German-speaking agent per slot.

  • Every slot always has its German-speaking agent
  • Whoever prefers mornings sets it as a time-slot preference
  • Everyone works the hours of their own contract
  • Weekends are shared out fairly

What happens if someone is absent at the last minute?

Oravis finds the shifts left uncovered and proposes the solution that changes the fewest shifts, preferring changes on days further away and without touching anyone already on duty. You can decide the maximum number of changes you accept. The proposal is applied only when you confirm it.

How do you ensure compliance with the law and the collective agreement?

Oravis automatically applies the working-time limits you configure from your labour law and collective agreement: minimum rest between shifts (for example the 11 consecutive hours required by the EU Working Time Directive), the maximum number of consecutive working days, each person's contract hours and the rules on shift sequences, such as never going from a night straight into a morning. Every generated schedule is compliant by design.

Where is the data hosted?

On servers in Italy, within the EU, and it is processed in compliance with the GDPR. Each organization has its own dedicated instance, separate from other customers. On request, Oravis can also be installed on your own servers (on-premise).

Does Oravis integrate with payroll and time clocks?

Today you can export the schedule to Excel, PDF and iCal. Export to the main payroll software and connection to time and attendance systems are on the roadmap: if you need them, get in touch and we will design them together around your needs.
